Maintenance and work orders on an asset
Raise a repair or service against an asset, close the defect it fixes, and build up its service history.
A work order is a piece of maintenance on one asset: a repair, a service, an inspection by an outside firm. Open orders show what's waiting to be done. Completed orders are the asset's service history.
Raising a work order
Open the asset in Assets & equipment and find Maintenance & work orders: "Raise one for a repair or service; completed orders become the service history." Choose Raise to open Raise work order:
- Title (required).
- Kind: Repair, Service, Inspection or Other.
- Priority: Low, Normal or High.
- Assigned to: a person in your workspace, or Unassigned.
- Resolves defect (optional): offered when the asset has open defects. Pick the one this work will fix.
- Vendor / who did it (optional).
- Note.
Choose Save.

A new order is always saved as Open. The dialog also shows Status, Cost, Labour hrs and Downtime d, but those aren't kept when you first raise an order yet. Fill them in with Edit once the order exists.
Working and completing it
Each order on the record shows its status — Open, In progress, Completed or Cancelled — with its title, kind, who it's assigned to, the vendor, the cost and the date it was done.
- Edit changes any of the details, including Status, Cost, Labour hrs and Downtime d.
- Complete marks an open order Completed and records the date.
- The × deletes an order.

When an order linked to a defect moves to Completed, by Complete or through Edit, the defect is resolved with the note "Resolved by work order: {title}". That closes the loop from a check that found a fault, through the repair, to the record that it was fixed.
Completing an order doesn't change the asset's status. If a check took it out of use, set it back to an available status yourself once you're satisfied it's safe.
Costs on a work order carry no currency symbol; they're recorded in whatever currency you price in.
Where open orders show
The Work orders tile at the top of the Assets page counts open orders across the register.
