The issue register and AI-flagged issues

Find, filter and prioritise every issue in one list, including the ones AI review drafts for you.

The Defects & issues register is the list of every issue in the workspace, one row each. Click a row to open the issue.

The issue register: status tabs, the four counts, search with Filters and Refresh, and the Team column

Reading the register

  • Under the header, the tabs Open, All, Closed and Voided set which issues are listed. Open covers everything not yet resolved. Voided issues only appear on their own tab.
  • The counts across the top are Open issues, Overdue, Unassigned and High severity. Overdue and High severity turn red when they aren't zero.
  • The columns are Title (with a severity dot), Subject, Severity, Priority, Category, Team, Assignee, Due (marked Overdue when it has passed), Created and Status.
  • The list ends with a count and a pager. Rows per page offers 25, 50, 100 or 200.

Search and filters

Type in Search issues to match on the title and description. Filters opens Filter issues:

  • Severity, Priority and Category.
  • Team: the teams on your people's records and any crew named on an issue, or No team.
  • Assignee: Any, Assigned to me or Unassigned.
  • Overdue only.

Choose Apply filters. The button then reads Filters · n, and each filter shows as a chip above the list. Take one off with its cross, or use Clear in the sheet. Refresh issues reloads the list.

Filter issues with a team chosen and Overdue only switched on

Assigned to me with Overdue only is the quickest way to see what you need to chase today.

View: at the head of the toolbar keeps the tab, the search and every filter as a named view, just for you or for the office. Save Assigned to me with Overdue only as a view of your own, switch on Open Defects & issues on this view, and the register opens on your chase list every time. See Saved views.

AI-flagged issues

On Team plans and above, AI review checks submitted forms. It compares the photos with what the worker declared, checks the answers against each other, and asks whether the record is complete enough to act on. When a finding contradicts an answer, it drafts an issue:

  • The title comes from the finding, the description says what the worker declared, and the flagged photo is attached as evidence. The finding's severity is applied.
  • The issue shows AI review as where it came from, with the finding on its Origin tab.
  • If an open issue with the same title already exists on that record, the finding joins it instead of creating a duplicate.
  • Issues are only drafted for jobs, sites, vehicles and equipment. A finding about a person stays a finding on the submission.

The people who manage the form's record, such as the fleet managers for a vehicle walkaround or the jobs managers for a job sheet, and everyone with Manage forms, get one notification per review: "AI review flagged {n} issue(s): {subject}", or "AI review needs attention …" when a finding is high severity and high confidence.

Nothing is actioned without a person. Someone with Manage compliance confirms or dismisses each finding on the submission. Once raised, an AI-drafted issue is triaged, assigned and resolved like any other. See Reviewing submissions and AI review and The issue lifecycle.

Who sees the register

People with Manage compliance see every issue, except where workstream scope limits which jobs they cover. Fleet and asset managers can open the vehicle and equipment issues. Field workers report issues from their phone but don't see the register.

Tip: the register is a list, not a board, so let the filters do the work, and save the ones you use every day as a view.
