Vehicle statuses and what their phase does

Name statuses the way your yard talks. The phase behind each one decides what the vehicle can be used for.

Every vehicle has a status, such as In service or In workshop. You can rename and recolour statuses and add your own. Behind every status is a phase, and the phase is what Maliru acts on: whether the vehicle can take a driver, whether it counts as off the road, whether it gets reminders.

The built-in statuses

Open the gear (Fleet settings) and choose Vehicle statuses: "Edit names and colours. Built-in phases remain fixed." Five statuses are built in, each with a phase you can't change:

Status Phase
In service Available
Not yet in service Not yet in service
Pending off-road Off-road
Off-road Off-road
Archived Retired

You can rename and recolour them, but not remove them. "Built-in phases protect vehicle safety workflows."

Adding your own

Choose Add status, give it a Status name and a colour, and pick its Phase:

  • Available: on the road.
  • Not yet in service: bought or on order but not on the road yet.
  • Off-road: temporarily out of use.
  • Retired: gone for good.

For example, In workshop under Off-road, Spare under Available, Sold under Retired. Choose Save changes.

What each phase does

  • Available vehicles can take a driver and appear in the pickers in the field app. They count as in service.
  • Not yet in service vehicles are tracked for costs and certificates, but can't take a driver and don't appear in the field pickers. They don't count as off the road.
  • Off-road vehicles count in the Off-road tile, can't take a driver and don't appear in the field pickers. Their record offers Return to service.
  • Retired vehicles get no compliance or inspection reminders, their recurring costs stop posting, and they're left out of the cost pages and the pickers.

Trying to give a driver to a vehicle that isn't available is refused with "This vehicle is off the road.", "This vehicle is not in service yet." or "This vehicle is retired." Taking a driver off always works.

Pending off-road

Pending off-road is never offered in the status menu. Maliru sets it: when a check reports a defect as Unsafe to continue or Vehicle stopped on a vehicle that's available, the vehicle moves to Pending off-road, its status note reads "Safety assessment pending authority review", and fleet managers are told "Safety review needed: {registration}". A vehicle already off the road, not yet in service or retired is left as it is.

From there, grading the defect decides what happens next. See Vehicle checks, defects and compliance.

Getting back on the road

Return to service appears on any vehicle whose status is in the Off-road phase, including your own, such as In workshop. It sets the vehicle to In service and tells its driver: "{registration} is back in service". Changing the status from the status menu doesn't send that notice.

Moving a vehicle into any available status — by Return to service or from the status menu — is refused while it has open defects: "Resolve open defects with evidence before returning to service." The one exception is a defect graded Advisory with Monitor - stay in service.

Filtering by phase

In the register, Filters opens Filter vehicles, with Phase chips for the four phases alongside Status and Category. Because it filters by what a status means, Off-road also finds your In workshop vehicles. The Off-road tile counts the same way.
