PDF reports: submissions and route completion
Turn a submission or a route into a PDF your client can read, with the verdicts, photos and your logo on it.
Maliru turns a form submission, a route's progress and a share-pack recipient's work into PDFs. On Team plans and above they carry your workspace's name and logo, with Maliru's credit after your name until you switch off Maliru credit on documents under Global settings › Branding. On Free every page's foot reads "Made with Maliru · maliru.com" and your logo stays off. Set your logo under Global settings › Branding.
The form submission PDF
Open a submission and choose Export. The PDF builds in the background, so you can carry on working. On the web you see "Preparing the PDF — it will download when it is ready." and then "PDF downloaded.". On a phone you see "Preparing the PDF…" and then the phone's share sheet.

The A4 document has:
- The title with a Passed or Failed badge on an inspection, and a status badge.
- A score card on inspections: the percentage, a bar, and "Every check passed" or "{n} checks failed".
- The facts: Subject, Submitted by, Submitted (or Completed and Received when the capture waited for signal before sending), Time taken, Status, and Reviewed by once reviewed.
- Issues raised, when failed checks raised any.
- Every answer, under the form's own section headings. Each check prints its Pass, Fail or N/A verdict. Photos, signatures and image choices are embedded, two photos abreast, each captioned "Attached {when}" with where it was attached. A photo from the stamp camera prints with its stamp, and with its note under it if it has one. Group rows print as "{field} · Row {n}", with each signature beside its own row.
- Review: who reviewed it and when, with the Review note.
- Your logo top right, and from page two a running header of "{Form} · {Subject}". The footer carries the page number, the export time and the branding credit.
The file is named after the work: "{Form} - {Subject} - {date}.pdf", for example Site safety inspection - High St reinstatement - 21-09-2026.pdf.
The PDF shows the answers as they are now, including any correction the submitter made in their edit window, and it always uses the version of the form that was answered, not a later edit. A correction the office made more than 7 days after submission, or after the form was reviewed, is printed as Corrected, with the date and who made it, for example 12 Oct 2026 by Jordan Hale, after approval. The reason they gave stays in the audit trail and isn't printed.
Who can export
- While the form's Allow users to export entries is on (the default), anyone who can open a submission, including the person who filled it in, sees Export.
- With it off, only people with Manage forms, and the people who manage confidential or expense records, can export.
- Confidential responses need the sensitive-information permission for every kind of access, exports included.
The route completion report

Open a route (from Schedule in the office, or Today or Work on the phone) and choose Share report. It builds the client-ready summary of the route:
- The header carries the route title, "Route completion report" with its dates and crew, and progress such as "7 of 12 done · 58%", with your logo top right, because this report goes to your client.
- A table with one row per job, using the columns and order chosen in the workstream's Report columns setting. The office and the phone print the same columns.
- Status cells use each status's own colour, with a legend. The Done category drives the counts. It doesn't force every done status to green.
- The footer carries the export time, page numbers and the branding credit.
It is named "{Route title} route report - {date}.pdf".
Downloading and sharing
- In a browser the PDF downloads, and you see "PDF downloaded." or "Report downloaded." Check your browser's downloads.
- On iOS and Android the share sheet opens, so you can email it, message it or save it to Files.
If something fails you see "PDF export failed." or "The report could not be prepared. Please try again." See Sharing and download problems.
Tip: both PDFs show the record at the moment you export. For a completion report, export after the last status is set, because the colours are the statuses.
A recipient's share-pack PDF
Under Forms › Shared, open a pack and use a recipient's Options → Download PDF. It bundles their submitted answers, read acknowledgements, signatures and activity. Signed copy opens the copy of an individual signed document. A bundle exported before they finish shows what was recorded so far. If Email each person a copy was on, each recipient is emailed their PDF when they complete the pack. See Pack templates, reminders and returned records.
