Filling form fields from the job

Set up forms that start with the job's title, client, site, schedule or custom fields already filled in.

Stop workers retyping what Maliru already knows. A form that attaches to jobs can take starting answers from the job it is opened on.

Set up a field

  1. Open the form in the builder and check that Form settings › Attaches to includes Job. It doesn't have to be the only kind: a form on a vehicle with a job named alongside it fills in the same way.
  2. Add or edit a supported field.
  3. Under Fill in from the job ("Taken from the job the form is opened against; the worker can still change it"), choose the source:
    • Job title, Client name, Site name, Site address, Workstream, Scheduled start or Scheduled end.
    • Any of your job custom fields, listed as Job field · {name}.
  4. Save the field and the form, then open it on a job to check the result.

Nothing — typed by the worker leaves the field blank. Match the source to the field: a scheduled date belongs in a date field, a client name in a text field.

Which fields can be filled

Fill in from the job is offered on Text, Number, Email, Phone, Date, Date & time, Location, Multiple choice and Dropdown fields. It isn't offered on the fields inside a group's rows, or on photos, signatures, files and other capture fields. It only appears when the form attaches to jobs.

What the worker sees

The answer is filled in when the form opens on the job, and the worker can still change it. If they have already typed an answer, or reopen a saved draft, their work is kept rather than overwritten with the job's current value.

  • Address sources use the job's saved site or one-off address.
  • Scheduled times come from the job's published work.
  • Only job fields the worker is allowed to see can be passed to them.

Filling from the job is a starting point, not a live link. A submitted report doesn't change when the job changes later. If a value can't be found, the field is left for the worker to fill in. Check the answers before submitting.

Guests don't get job values

Filling from the job works for people signed in to the workspace. A guest completing a share pack never receives private job values as starting answers. If a guest needs a reference or an address, put it in the pack's message or a document on purpose. See Sharing forms and documents outside your workspace.
