Sites and locations

The places work happens — depots, work areas and addresses — set on a job or dropped onto a shift.

Sites are the places you go back to: a depot, a pumping station, an estate, a stretch of high street. Manage them in the Sites section. For a single visit you don't need a site at all — type the address instead.

The Sites list: code, client, location and status

Adding a site

Add site captures Name (required), Code, a Location description ("Address or directions for the field team") and an optional Client. The list shows each site's Name, Code, Client, Location and Status.

Edit site: name, code, location description, client and the Active switch

On an existing site, the Active switch archives it — "Archived sites stay linked to past work." A site with no jobs, shifts, time entries or assets against it can be deleted from the editor. Anything still linked is refused with the reason, so history keeps its location. On desktop, tick rows to delete several at once; sites still in use are kept and reported.

Where a job is

A job has one location: a saved site, a typed address or coordinates. Set it on the job directly — select the job's Site cell in the Jobs table, or the Site row on the job record. Where is this job? offers Site (every site in the workspace), Address ("Typed in when the place is not a site on file. A shift scheduled with an address fills this in.") and Coordinates.

Choosing one clears the others.

Coordinates

Use Coordinates when a work pack places the job by a grid reference or a latitude and longitude, as it often does for a pole or a cabinet. Choose the System: British National Grid is first in Great Britain and Irish Grid (ITM) in Ireland, Irish Grid is also offered in the United Kingdom for Northern Ireland, and latitude, longitude is always offered. Then paste the Reference exactly as the pack gives it, for example Grid Ref: 512722 165792, MAP REF; 512722 165792., 301525,127655, E 512722 N 165792, TQ 12722 65792 or 51.38000, -0.38170.

Maliru shows what it read (= 51.38000, -0.38170) and a map with the pin. Check the pin is where the work is, then choose Use this location. What you enter is the location: Maliru never changes it, and never checks it against other figures on the pack. If a reference can't be read, the dialog says how to write it.

Add a Note in the pack's own words ("Public footpath past the yard"), and the Postcode if the pack gives one. With a postcode, the dialog shows how far the pin is from it ("380 m from KT12 3PB"). It's for information only and never stops you saving. Great Britain's postcode positions come from Ordnance Survey Code-Point Open, and contain OS data © Crown copyright and database right. A Northern Ireland postcode or an Eircode is located by Google Maps instead, and the line says so ("1.2 km from D02 X285 · Google Maps"); the job record shows that distance for up to 30 days, as Google allows.

On the job record the Site row shows the reference and note, the system and the point, and Show map. Workers see the reference and note, and Directions take them to the exact point. Sub-jobs added under a parent start with its coordinates. A shift scheduled with its own site or address moves the job there, replacing the coordinates; a shift with neither leaves them alone.

Coordinates are on every plan.

The location shows in the Jobs Site column, on the job record and in the worker's view of the job. Job forms can use it through Fill in from the job, so workers don't retype the same address.

Sites on shifts

When you schedule a shift, the Site field opens Choose a site. It offers only the sites belonging to the job's client, so a shift can't be put on another client's site by mistake. That has two consequences:

  • A job with no client offers no saved sites. Set a client on the job first.
  • A site with no client (a depot, say) never appears in the shift picker. Give the site a client, or type the address instead.

An older shift saved before this rule may still show "This site belongs to a different client than the job."

One-off addresses

Not every location needs a saved site. Beside Site on the shift form, Use an address opens One-off address — type the full address and choose Use address. The same option, Use a one-off address, sits at the foot of the Choose a site picker. The shift then shows the address instead of a site name, and the address is recorded on the job too.

Tip: save the places you return to as sites, with clear directions in the location description — field staff tap Directions from their phone. Keep one-off addresses for genuine one-visit jobs.
