Recovering a cost from the record
Raise a deduction from a vehicle defect, a fine, an incident or an asset, with the right person already filled in.
When a cost arises from something already recorded in Maliru, raise the deduction from that record. The deduction form opens with the person, the reason and the record filled in, and for a fine the amount too. Check it, then send it. The worker is still asked to agree before anything is taken. See company deductions.
The Recover actions are in the office only, for people with the Manage pay rates permission, while the Pay & payroll module is on.
A vehicle defect
In Fleet, each defect has a Recover from driver button. In the Defects register it is in the defect's … menu. Maliru looks up who was assigned to the vehicle when the defect was reported, from the vehicle's driver history, not whoever drives it now. The reason starts as Damage.
A fine or penalty notice
Fines are recorded under the vehicle's Running costs, with the category Fines. Press Recover from driver on the fine. Maliru takes the driver assigned to the vehicle at midday on the fine's date, fills in the amount, and starts the reason as Fine or penalty notice.
A lost or damaged asset
On the asset, Recover from holder offers Recover loss from holder and Recover damage from holder. Maliru fills in whoever holds it, or held it last. A defect raised against an asset offers Recover from holder in the Defects register, and takes whoever held the asset when the defect was reported.
An incident
A defect or issue on a job, on a site or on nothing in particular names nobody, so Recover cost in its … menu opens the form without a person. Choose who it is recovered from.
If nobody is found
If the record names nobody — nobody was assigned to the vehicle at the time, say — the form says This record names nobody. Choose who it is recovered from. The record is still linked as the evidence. If the reason it would start with has been retired, choose one yourself.
