Client equipment: the machines you service for your clients

Keep each client's lifts, boilers, panels and plant on record beside your own, with their own inspections, checks and service history.

A maintenance contractor services equipment it does not own: a client's lifts, fire panels, boilers or chillers. In Maliru that equipment lives in the Assets register beside your own, on a tab of its own, so it gets everything an asset has: custom fields, an asset tag, inspection cycles, checks, work orders and history.

Client equipment is part of service contracts, a feature of Clients & contracts: switch on Service levels under Global settings › Modules. Adding a client's equipment is included on the Crew plan. On any other plan everything already recorded stays readable.

Ours and Client equipment

With service levels on, Assets has two tabs:

  • Ours: your own plant, tools and kit. Everything the stores do is here: check out and check in, stock, kits and requests, and the dashboard's counts.
  • Client equipment: what your clients own. Its columns add Client and Site.

The two never mix. A client's equipment is never checked out, issued, counted as stock or put in a kit: it is serviced where it stands.

Adding a client's equipment

On the Client equipment tab choose Add asset. The dialog starts on A client's:

  • Client: who owns it.
  • Site: where it is. Only that client's sites are offered, so link the site to the client first under Sites if it is not there.

Everything else is as for any asset: name, category, tag, make and model, serial number and your custom fields. A client's equipment is one item, never a stock line.

You can also hand an existing asset to a client, or back to Ours, from its Edit details.

On the client

A client's record lists its Equipment, grouped by the site it sits at. It is read-only there: add and edit it in Assets.

On a job

A job is about at most one piece of equipment. In the job's record, the Equipment row shows it; the pencil beside it offers the client's equipment, searchable, or No equipment. Below it, Service history lists the latest jobs on the same equipment, newest first, with a Missed target mark on any call-out that missed its service level.

On a contract

On the contract's Service tab:

  • Covered equipment › Choose equipment lists what the contract covers, from its own client's equipment.
  • A planned maintenance plan can name one piece of Equipment. Each visit it raises is a job about that equipment, at its site unless the plan names another, so the equipment's service history builds up visit by visit. See Planned maintenance.

Who can change it

People with Manage assets add and edit equipment. Covering equipment and planning visits for it is part of the contract, for people with Manage commercial. See Service levels on a contract.
