The Binder on the job: pinned documents and reading without signal
Pin documents to sites, clients, contracts, workstreams, vehicles and assets so they turn up where the work is, and keep them on the phone for places with no signal.
A site's safety plan is most useful at that site. Pinning an item puts it on the records it belongs to, so people find it on the job instead of three folders deep.
Pin an item
Open the item and go to Pinned to. Choose Pin to… and pick what to pin it to: Sites, Clients, Contracts, Workstreams (your job types), Vehicles or Assets. Tick one or more records in the list, searching if you need to, then choose Pin.
Each pin shows as a chip on the tab, grouped by kind. The cross on a chip (Unpin) removes it. An item can be pinned to as many records as you like.
Where pinned items appear
A pinned item shows on that record, and on the field worker's job at it, to the people who can see its folder.
- On the phone, a job gains a Documents section listing what is pinned to the job's site, client, contract and workstream. Tapping one opens it in the Binder, with Read & confirm when it is a must-read.
- In the office, a Documents section appears in a site's, client's, contract's and workstream's own dialog, and on a vehicle's and an asset's record. Clicking one opens it in the Binder.
A record with nothing pinned looks just as it did. Documents pinned to a vehicle or an asset, such as its handbook, are read on that vehicle or asset; they do not appear on a job.
Pinning is not sharing
Pinning does not show anything to anybody new. If field staff cannot see the item's folder, they will not see the item on the job either. The Pinned to tab warns you when that is so: Field staff can't see this folder, so pinning won't show it to them, with Share with… beside it.
To show a document only to the people working at the places it is pinned to, share its folder with People sent to the work it's pinned to. See Sharing Binder folders.
Keep on this phone
In the iPhone and Android apps, documents can be saved on the phone to read without signal. Open a file and choose Keep on this phone: Saved on this phone. It opens without signal. A folder has the same button at the top, which saves every file in it, for example 3 documents saved on this phone.
Kept documents and folders show a green tick. Whenever the phone reads the Binder with signal and finds a newer version of something kept, it replaces the saved copy, so what somebody reads where there is no signal is what the office last published. Remove from this phone deletes the copy.
Without signal, a document that is not kept says This document needs signal to open. Keep it on this phone to read it without signal. Videos are kept over Wi-Fi only: see Videos in the Binder.
Kept documents belong to whoever is signed in: signing out removes them from the phone. The Binder in a web browser has no Keep on this phone.
A must-read confirmed without signal is sent later by itself. See Must-read documents.
Search
The office and the phone both have Search the Binder. It looks in titles, descriptions, the text of pages and the text inside PDFs (PDFs up to 10 MB that hold real text rather than a scanned picture). On the phone, type at least two letters.
Results list matching folders, then documents, each with its folder and the words around the match. Search only ever shows what the person searching can see, so nobody finds a document through search that they could not open in its folder.
Tapping a result opens it as usual. On the phone, the breadcrumb at the top of a document (Binder › folder › subfolder) takes you back to any folder above it.
