Inductions: building one, and the credential it issues
Turn Binder documents, videos, forms and sessions into an induction with a finish line, ending in a credential that work can require.
An induction is a folder with a finish line. People work through its steps on the phone, at a classroom session, or both. Finishing it issues a credential, and work at a site, for a client, under a contract or in a workstream can require that credential.
Switch inductions on
Inductions are part of the Binder, and off until you switch them on under Global settings (in the account menu) › Modules › Binder › Inductions. The Binder then has Inductions, Sessions and Matrix tabs beside Documents. Building inductions needs the Binder permission.
Inductions are on the Crew plan and above. A workspace already using them keeps them. The Binder's documents and must-reads are on every plan.
Create one
On Inductions, choose New induction. Give it a Title, optionally the folder it Shows in the Binder folder (People find it there as well as in their list.), and how it is Delivered: On the phone, In person or Both. Then Create induction.
To start from a folder you already have, choose Turn into an induction in the folder's menu. It makes a draft that holds the folder's documents as steps.
Steps
On the Build tab, Add step offers:
- Read — open a Binder document and confirm it was understood.
- Watch — watch a video from the Binder, uploaded or a YouTube or Vimeo link. No skipping ahead stops people jumping past what they have not watched.
- Form — fill in a form. A scored form must be passed. Run it as a quiz shows one question per screen, with a Pass mark, Retakes and whether the Best or Last result is kept.
- Sign — sign a declaration you write.
- Attend — be marked present at a classroom session. See Running a classroom induction.
- Sign-off — an assessor confirms they saw it done.
Each step is Required or Optional: The induction is finished only when every required step is. Use the arrows to order them, then Save steps. With Steps in order on, each step waits for the required ones before it. On a wide screen, a phone preview shows what people will see; the steps as they do them are in Doing an induction on your phone.
Details
- Who it is for — Everyone unless you choose a team, an access level, a Smart Group or chosen people.
- Scope — Where the credential it issues counts: Not tied to one place, A site, A client, A contract or A workstream.
- Due within (days) — From the day somebody is enrolled.
- Valid for (months), or No expiry.
- Renew before it expires — people are enrolled again when their credential is about to expire.
- Enrol new starters automatically — Everybody who joins and is in who it is for.
- Enrol people scheduled onto the work automatically — anyone sent to work in its scope who has not done it, due by the start of the work.
Then Save details.
Publish
Nobody can be enrolled until you Publish. Later changes go out with Publish changes, which asks what people who already finished should do:
- Nothing to redo — Their induction stands. Use this for a correction.
- Redo the changed steps — they are enrolled again with every unchanged step already done.
- Start again — they are enrolled again from the start.
People part-way through keep what they have done, except on the steps that changed. Enrolling people by hand or by Smart Group is covered in The induction matrix, your crew, and past inductions.
The credential
The Details card says what finishing gives, for example Finishing it issues the credential "Site induction" (valid for 12 months). Each induction has its own credential type, named after it and kept under Inductions among your credential types. Renaming the induction renames the credential type too.
When somebody finishes, all at once:
- the credential is added to their record, verified, with the induction's scope and an expiry date from its validity;
- a completion certificate is filed with it as its evidence;
- they and their manager are told.
It shows on the person's Credentials in Users. See Credentials and competency.
Require it before work
Once a scope is set, Require before work… at the top of the induction creates the rule in one go. Choose what happens when somebody has not done it, Warn (The scheduler is told, and can go ahead.) or Block, and when it is Checked from: Assignment, Dispatch or Clock-in. Then Require it. See Eligibility: who is allowed to do the work.
Reminders
People are reminded two days before an induction is due, and once more if it becomes overdue. Two days later, their manager is told, once.
Archive
Archive, in the ⋮ menu, stops new enrolments and takes the induction off people's lists. Credentials it issued stay valid, and its records are kept.
