The contract fee: a draft invoice each period
Bill a maintenance contract's fixed fee every month, quarter or year, with the planned visits done in the period listed as its schedule.
Many maintenance contracts are paid by a fixed fee: 450 a month for the fire alarm service. Maliru raises the invoice for it each period, and lists the planned visits done in the period on it, so the fee is backed by the record like everything else you bill.
Setting the fee
On the contract's Service tab, under Contract fee:
- Fee: the amount, in the contract's currency.
- Invoiced: Monthly, Quarterly or Yearly.
- From: the first day the fee covers. Each period runs from that day of the month: a fee from the 15th covers the 15th to the 14th.
Choose Save fee. Setting a fee is included on the Crew plan, for people with Manage commercial. Clear the amount to stop it.
The draft invoice
The day after each period ends, Maliru raises one draft invoice for it:
- to the contract's client, in the contract's currency, with the client's payment terms and tax treatment;
- with one line, Service fee: , for the period;
- with a Planned visits this period schedule: each planned visit done under the contract in the period, its due date, when it was done and whether it was on time.
It appears in Commercial › Invoices as a draft, and on the contract's Service tab under the fee. Review it and issue it as you would any draft: the number is given when it is issued. A period is invoiced once: discarding the draft does not bring it back.
Periods that ended before the fee was set up are not invoiced. Bill those by hand if you need to.
Call-outs on top
A call-out at a priority marked chargeable is billed exactly as before, through measures and your rate card. The fee covers the promise; the measures cover the extra work. See Service levels on a contract.
