Client statements and exports for Xero, QuickBooks and Sage
Show a client what they owe, and hand your issued documents to your accounts package.
Two tools on Commercial › Invoices look at your documents as a whole rather than one at a time: a Client statement for a client who asks what they owe, and Export for accounting for the package that keeps your books. Both need Manage commercial.
Maliru feeds your accounts package; it does not replace it. It is not a ledger, it does not reconcile your bank and it does not file tax returns.
Client statements
Choose Client statement on the Invoices tab and pick the Client. The statement is as at today.

At the top, five totals: Invoiced, Paid, Credited, Outstanding and Overdue. Underneath, every document the client has been issued, oldest first — issued, part-paid, paid and credited invoices and applications, plus the credit notes against them — with its Reference, Due date, Status and Amount. A credit note says which document it credits.
What is left out: drafts (the client has not seen them), void documents, and quotes and pro-formas (nothing is owed on either). Paid reflects the payments actually recorded, so a part-paid invoice counts what arrived, not nothing and not the whole amount. Outstanding takes off any refund a credit note leaves the client due: what they had paid on the invoice it credits, less any refund recorded on the credit note.
Download it as:
- PDF — laid out in your own document design, ready to send.
- CSV — the rows, to work with in a spreadsheet.
A client with nothing issued yet shows Nothing issued to this client yet.
Exports for accounting
Choose Export for accounting on the Invoices tab.

- Format — Xero — sales invoices CSV, QuickBooks Online — invoices CSV or Sage 50 — audit-trail CSV.
- From and To — documents issued between these dates.
- Sales account code — the account the sales post to in your package (not asked for Sage 50).
Choose Export. "Issued documents only. Credit notes export as negative amounts." Drafts, void documents, quotes and pro-formas are never exported. If nothing was issued in the period, the export says so.
Import the file into your accounts package the way it expects. Each export is recorded in the workspace audit trail. On the Free plan an export counts as one of the month's exports.
For the bills you owe suppliers, Commercial › Bills has its own export — see Bills and suppliers.
