The team directory

An opt-in workplace phone book. Call, email or message a colleague, showing only the details you choose.

The directory is your workspace phone book, a deliberate way for the team to reach each other. It's off by default, and it only ever shows the details an admin chooses.

Turning it on

With the Manage chat permission, open Communications › Directory and choose Directory settings:

  • Enable directory.
  • Details to show: tick the fields that appear. The built-in ones are Job title, Team, Trade, Email, Phone, Classification and Start date, and your own profile fields are listed after them (dropdown profile fields can't be shown). "Name and photo are always shown."
  • Who can see whom: Everyone sees everyone, or People only see their own team. With the second, "Anyone without a team will see an empty directory." In practice they see only themselves.
  • Hide these people from the directory: keep specific people off it.

Save, and "Directory saved." confirms it. The Directory tab only appears when the Directory feature is switched on for Communications in the workspace's modules.

Using it in the office

Open Communications › Directory, search Search people, and click someone to see their card. The actions are:

  • Call, when a phone number is shown. It dials the number.
  • Email, when an email address is shown. It opens a new message.
  • Message, always there. It starts a chat direct message.

Using it on the phone

In the field app, the directory is the contacts button in the top corner of Today, not a Chat segment. It opens the same list with Search people. Tap a colleague to see their card with Call and Email. To message someone from the phone, start a direct message in Chat.

If the workspace hasn't switched it on, the phone says "Your workspace has not turned on the directory."

Who appears

Only active people who have joined the workspace appear. Invited people who haven't signed in yet, deactivated people and erased records never do, and neither does anyone on the hidden list.

The directory shows only what is ticked under Details to show. If Call or Email is missing, add Phone or Email to the shown details. This is a consented exposure, separate from the Users area, which stays limited to people with access to it.
