Exporting the schedule to Excel, CSV or a printable sheet
Take ticked or filtered shifts out as a spreadsheet, a file for another system, or a page to pin up.
The schedule's Export menu gets shifts out of Maliru without retyping them — for a client who wants next week as a spreadsheet, a payroll or planning system that reads CSV, or a supervisor who wants it on the depot wall.
What it exports
Export is in the Schedule header.
- Nothing ticked — it exports what the current filters and window are showing.
- Shifts ticked — it exports just those, and the button reads Export {n}. The bulk bar's Export selected does the same.
A ticked shift stays in the export even if you change a filter afterwards, so a filter can't quietly drop a row out of the file.

The formats
- Excel (.xlsx) — "One row per shift", for the office to sort, filter and re-cut.
- CSV — "For another system".
- PDF sheet — "Grouped by day, to print". Landscape A4, titled Schedule with the dates and number of shifts it covers, and your logo when you have one.

Files are named by the dates they cover — schedule-2026-09-21.xlsx for one day, schedule-2026-09-21-to-2026-09-27.pdf for a range. The file downloads in the background and says so when it's ready.
The columns
Excel and CSV have one row per shift, earliest first:
| Column | What it holds |
|---|---|
| Date, Start, End | the shift's window; All day or Ongoing where there's no clock |
| Hours | decimal hours, so the column adds up; blank for all-day and ongoing shifts |
| Status | at the moment of export: Draft, Published, On site, Overdue, Outcome needed, Works complete, Further works, Aborted or Done |
| Job, Shift title | the job and the shift's own title |
| Client, Site | the client, and the site (or one-off address) |
| Workstream | the job's workstream |
| Team | the people on it; a claim nobody has approved isn't counted |
| Confirmed | how many of the team have confirmed, e.g. 2/3 |
| Tasks done | ticked tasks out of the total, e.g. 1/3 |
| Files | how many files the shift carries |
| Notes | the notes for the team |
Dates are written year-first (2026-09-21) so a spreadsheet sorts them properly. Times are in the workspace's time zone, so an export opened in another country still says when the crew turns up.
What isn't in it
- Routes. The export covers shifts only. A route's jobs and progress are in its own route completion report (Share report on the route).
- Cancelled shifts — they are gone from the schedule.
- Who is where, for a client. That's a different kind of export: the WHEREABOUTS section of the same menu makes a grid of people and days, hides other clients' work, and can be emailed. See Sending a client a whereabouts sheet.
If nothing matches your filters, Maliru says "There are no shifts here to export."
