Planned maintenance: visits that raise themselves

A contract's recurring visits arrive on the Schedule as drafts, ready to publish, and say whether each was done on time.

Planned maintenance is the visits a contract promises: this site, this often, with this checklist, such as a six-monthly fire alarm service. Maliru raises each visit itself, ahead of its due date, so the office meets it coming.

It sits on a contract's Service tab, with the contract's service terms (see Service levels on a contract), and is included on the Crew plan.

Adding a plan

Under Planned maintenance, choose Add plan:

  • Title: what the visit is, for example 6-monthly fire alarm service.
  • Site: where the visits are.
  • Equipment: optionally, one piece of the client's equipment the visits are for. Each visit's job is about it, and it stands at the equipment's site unless you choose another. See Client equipment.
  • Workstream: which workstream the jobs go in. Leave it as The default workstream if you only have one.
  • Every and Unit: how often, in weeks, months or years.
  • First visit due: the date the first visit is due. A plan whose first date has passed starts at the first visit that can still be done on time, so no history is raised. Pausing a plan, or a contract going on hold, skips the visits that fall due meanwhile: when it resumes, it starts at its next one.
  • Raise days ahead: how long before each due date the job appears. 28 days to start with.
  • On time within ± days: done this many days either side of the due date counts as on time. 14 to start with.
  • Visit length (minutes) and a Crew note, which goes on the visit.
  • Ends on, for a contract with an end date.
  • Checklists on each visit: forms that are filled in on a job.

What Maliru raises

When a visit comes within its lead time, Maliru makes:

  • one job, under the contract's client and contract, at the plan's site, with the plan's title; its due date shows in its record as Planned visit;
  • one draft visit on the due date, starting at the beginning of your working hours (08:00 if you have not set them), for the visit length;
  • the plan's checklists, due on that job on the due date.

The visit is a draft: nothing is published automatically. Choose the crew and publish it from the Schedule as you would any draft, and the usual eligibility checks and confirmations apply. A visit is raised once, however many times Maliru checks, and a plan stops at its end date.

On time, late and missed

The job's record shows Planned visit: its due date, its window and where it stands: Upcoming, Due (inside the window), On time, Done late, Done early, or Late when the window has passed and it is not done. A visit counts as done when the job reaches a done status or a visit is reported Works complete.

The jobs table can show a Planned due column. On the dashboard, Planned visits due counts the visits inside their window and not yet done, and Planned visits late the ones past it.

Pausing and deleting

The pause button on a plan stops new visits being raised; resume it when the contract restarts. Delete removes the plan; the visits it already raised stay on the board.
