Clocking in and out

Start and stop the clock against today's work, take breaks, switch jobs, and fix a clock-out you forgot.

The clock records when you start and stop work, and which job or route the time belongs to. Everything on your timesheet starts here.

Where the clock is

  • On a phone, the clock is the first card on Today. It reads Not clocked in or On the clock, with "since {time}" and how much you have "logged today", and one big Clock in or Clock out button.
  • Me › My time on the phone is the same clock given the whole screen — Off the clock, On the clock or On a break — and it is where you take breaks and switch task.
  • In the office, Timesheets › My time shows the clock panel above your own entries (see Your entries in the office below).

Clocking in

Tap Clock in. Maliru lists Today's shift — your published shifts for today and any route you hold — so the time is linked to the right work. Pick one and tap Clock in again. A route shows as "Route · 12 jobs · 07:00–15:00" and counts once, however many jobs it holds.

If nothing is scheduled for you today, the list says "No shift today — you'll clock in for general work."

A clock-in can be refused:

  • "This work cannot start yet: …" — the job needs something you don't hold yet, such as a credential or an authorisation. The message names it. See Eligibility: who is allowed to do the work.
  • "Finish {job} before starting another job." — your workspace uses One job at a time (below).

Breaks and switching task

While you are clocked in, Me › My time offers:

  • Start break — pick Rest, Meal or Other, and switch on Paid break if it is one. End break finishes it.
  • Switch task — move onto another of today's shifts or routes without clocking out. The time before the switch stays with the first job.

Clocking out

Clock out opens a short review:

  • How did your visits go? covers each visit you worked today. See Saying how a visit went below.
  • Work completed lists route work, which has no outcome to give. Tick the jobs you finished; each can carry a Note.
  • An overall Note for the day.
  • If you are on a break, "Clocking out will end your open break."

Saying how a visit went

Each shift you work is a visit to its job. For each visit, choose how it went:

  • Works complete: the work is finished. Fill in What was completed.
  • Further works required: part of the work is done and more is needed. Fill in What was done and What is left to do.
  • Visit aborted: the work could not go ahead. Fill in Why was it aborted?

You are asked about the visits you clocked into today that end by tonight and have no outcome yet. Clock out will not go through until each one has an outcome and the notes it needs; the review points to anything missing. A visit that carries on into another day is asked about on its last day: "Carries on another day. You can report it on its last day."

When you are asked depends on One job at a time:

  • On: you give the outcome as you clock out of each visit, and that is what lets you start the next job. See One job at a time below.
  • Off: moving between jobs with Switch task asks nothing. The questions come when you clock out at the end of the day, and cover every visit you worked that day.

A visit has one outcome, shared by everyone on it. If a crewmate has already answered, you see what they said, marked "Reported by {name}", and can keep it or change it. The office can also give or correct an outcome, for example when nobody clocked out. See Finding your way around the Schedule.

The next crew sent to the job sees the outcome, and what is left to do, on their shift under Last visit. See Your work: the Work tab and opening a shift.

Your answer can also move the job itself, for example to Awaiting sign-off after Works complete, so the office knows it is ready to check. Which status each answer leads to is set for each workstream; see Jobs, workstreams and statuses.

Route work is not asked. Its progress is its route statuses, and it still finishes with a tick under Work completed.

The iPhone and Android apps ask once their latest version is installed. Until then they clock out as before.

Forgot to clock out?

If you have been on the clock for more than 14 hours, Clock out first asks "When did you finish?" — "You have been clocked in since {when}." Pick the day and time you actually stopped and tap Continue. The finish must be after you clocked in and can't be in the future. Until you do, Today shows "Still clocked in from a previous day" under Needs your attention.

One job at a time

Some workspaces switch on One job at a time (under Timesheets › Policies). When it is on:

  • Once you have clocked into a shift today, your other shifts read "Finish {job} first" on Today, Work and the clock-in list, and Switch task is hidden.
  • Saying how the visit went is what finishes it. Clock out, give the outcome, and your next job can start. A visit that carries on into another day can be left without one, but "Without an outcome, you will have to report this visit before you can start another job today."
  • A job under a route workstream is not asked how it went. At clock-out its tick reads I have finished this job. Leave it unticked and you'll see "Left unticked, you will have to finish this job before you can start another."
  • Routes and general work are exempt. A route is one duty however many jobs it holds.

About location

When you clock in and out, Maliru takes one location reading from your phone — at that moment only, never in the background. It never blocks you: with location off or denied, you still clock in and the office just has no stamp.

If your workspace sets a geofence radius, a clock-in or clock-out further than that from the site is flagged Outside site geofence for a manager to look at. It is a flag, not a refusal.

With no signal

Clocking in and out, breaks and switching job all work with no signal. The phone saves each one with the time you pressed it, shows you clocked in with Waiting to send, and sends it when signal returns. The office sees both when you pressed it and when it arrived. If your phone's clock was more than five minutes out, the entry goes to a manager to check. See Working with no signal.

Your entries in the office

Timesheets › My time in the office: the clock panel, My entries for the week and My change requests

On a desktop, Timesheets › My time also lists My entries for the day, week, month or year you choose. A day with nothing recorded offers Request to add a Missing entry; a closed entry offers Request change. My change requests on the right tracks each one. On a phone, corrections go through your timesheet instead — see Your timesheet: submitting and corrections.

Tip: when you have a shift, clock in against it rather than as general work. It links your hours to the job, which keeps your timesheet clean and makes the site geofence check mean something.

If you work alone, the clock does not watch over you — that is a lone worker session, which you start yourself unless your workspace has set one to start when you clock in. See Working alone: start a session and check in.
