Time off in lieu (TOIL)

TOIL is a leave type with a balance you set. Nothing turns overtime into time off on its own.

Time off in lieu is time off given instead of payment — usually for extra hours or a weekend worked. In Maliru it is an ordinary leave type, Time off in lieu, with a balance that you set by hand.

What Maliru does, and doesn't, do

  • Nothing banks overtime into TOIL automatically. Extra hours stay as worked and overtime on the timesheet, and in any pay run. Giving time off instead is a decision somebody makes and records.
  • Work out entitlements only works out your main holiday type. TOIL is never calculated for anyone, and Keep this figure in step does nothing for it.
  • A TOIL balance belongs to one leave year. Nothing carries it into the next year for you — use Carried over if it should roll on.

The leave type

A new workspace comes with Time off in lieu already set up as Paid, Requires approval and Deducts balance. You can change those, rename it or set it inactive under Timesheets › Leave › Leave types, like any other type.

Because it deducts a balance, a worker can only book TOIL they have been given. A request for more is refused, and somebody with no TOIL balance can't book any.

Giving someone TOIL

You need the Manage leave permission.

  1. On Timesheets › Leave, choose Set entitlement.
  2. Pick the Worker and set Leave type to Time off in lieu.
  3. Enter what they have earned in Entitled — in days or hours, as your workspace shows leave. To add more later in the year, open the same row again and raise Entitled, or use Adjustment.
  4. Leave Keep this figure in step off, and save.

Their TOIL now shows in the Leave balances register and on their own balances — Time off in lieu, 2d left on the phone.

Booking and approving it

The worker books TOIL with Request leave, choosing Time off in lieu as the type. It waits for approval like any request and comes off their TOIL balance, not their holiday. A manager can also record it with Log for worker.

Approved TOIL appears on the timesheet as paid leave for that day, named Time off in lieu.

Contractors can't use TOIL: they never draw paid leave, so balance-deducting types aren't offered to them.
