Briefings and attendance registers

Record a stand down, team brief or toolbox talk with everyone who attended signing against their own name.

A briefing record says what was covered and who was there to hear it, with each attendee signing against their own name. Open Communications › Briefings in the office, or Chat › Briefings on the phone, and choose Record briefing.

The Briefing attendance register

Every workspace starts with a form called Briefing attendance register:

  • Briefing: Stand down, Team brief or Toolbox talk.
  • Topic and Key points covered.
  • Attendees: one row per person, with Attendee (leave blank for a visitor), Full name, Job title and Signature.
  • Presenter signature.

It is an ordinary form. You can rename it, add questions or change the choices under Forms. If it has been deleted, create it again from Forms › Templates. If several briefing forms are active, Record briefing asks which one to use. With none, the button doesn't appear.

A briefing is filed against the person who gives it. Whoever records it is the presenter, and it appears in their history.

Recording one

  1. Choose Record briefing and pick the briefing type, topic and key points.
  2. Under Attendees, choose Add people, search and tick everyone who attended, then choose Add (it counts them, for example Add 4). Each person gets their own row with their name filled in. Rows that are still blank are used first, and nobody is added twice. If someone can't be added, Maliru says why, for example "Not added: 1 already listed."
  3. For a visitor who isn't in the workspace, use Add row, leave Attendee blank and type their Full name.
  4. Hand the phone round. Each person signs in their own row.
  5. Sign as presenter and Submit.

A briefing register on the phone with three attendees added, one signed, and the Add people button

Every attendee needs a full name and a signature before it will submit. Like any form, a briefing started without signal saves on the phone and sends when you're back online. See Working with no signal.

Finding it later

The Briefings list shows each briefing with its form, presenter and date. Click one to open the submission with every answer and signature. Where your access allows, Export makes a PDF with each signature printed beside its attendee. Workers picked in the Attendee column are linked to the submission, so it also shows among the forms on their own record. A worker can only appear once in a register.

What a briefing isn't

  • Attendance isn't time. Signing a register doesn't clock anyone in or add hours to a timesheet.
  • A briefing records who attended a session. For a notice people must read on their own, post an update with Require each recipient to confirm read instead. See Updates and announcements.

The Briefings tab appears when the Forms module is switched on. To build a register of your own, for a site induction on a job for example, see Build and fill an attendance register.
