AI allowance, usage and top-ups
What counts as an AI action, the monthly allowance on each plan, what happens when it runs out, and top-ups.
Some of Maliru's features run an AI model, which costs Maliru money every time. Each plan includes a monthly allowance of AI actions, you can see what's been used, and you can top up if a month runs long.
What spends an AI action
- An AI review of a form submission. The review checks photos against what was declared, answers against each other, and whether everything is complete. See Reviewing submissions and AI review.
- Reading a bill from its document: uploading supplier invoices under Commercial › Bills › Upload, where Maliru reads the supplier, dates and lines into a draft bill.
- A change Marie makes for you, once you confirm it: one AI action for each change. Several changes confirmed together use one for each change made, at most 5. A card you dismiss uses none. See What Marie can do for you, and what she never does.
These don't spend the allowance:
- Drafting a form with AI (Create with AI in Forms › New form).
- A review in fast mode, which is what reviews fall back to once the allowance has run out.
- Suggesting your public holidays when you set up leave.
- Asking Marie: her help with Maliru, her answers from your records, finding records, reminders, watches and memory. Answers from your records have a fair-use limit each day instead.
The allowance on each plan
| Plan | AI actions a month | AI form drafts |
|---|---|---|
| Free | None. AI reviews and bill reading aren't included. | 3, for the life of the workspace |
| Team | 500 | Unlimited |
| Crew | 2,000 | Unlimited |
| Enterprise | Agreed with you | Unlimited |
The monthly allowance resets on the 1st of each month. Unused actions don't roll over. Top-up actions do: they never expire.
Seeing what's been used
Go to Forms and click the sparkle icon (AI review settings) in the header, next to Fill in. You need Manage forms to see it. The AI review dialog shows:
- Reviews, 30 days and Findings: how much reviewing has happened recently.
- This month: actions used against the allowance, for example 480 of 500.
- Top-up actions in hand, if you have any: "… top-up actions in hand. They are used once the monthly allowance runs out, and they do not expire."
- On Free: "AI form drafts: n of 3 used. Drafting never counts against the monthly allowance."

The same dialog holds the review switches:
- AI review on: "Off pauses every review, whatever a form says."
- Review inspections with photos: the default for every scored inspection that carries photos. In a form's own settings, AI review can be Workspace default, On for this form or Off for this form.
Click Save to keep any change.
When the allowance runs out
The dialog says so: "This workspace has used its monthly allowance of 500 AI actions. Reviews carry on in fast mode; reading an invoice waits until the allowance resets on the 1st, or until you add a top-up of 500 actions."
- Reviews keep running, on a quicker, cheaper pass. Their findings are less thorough, but nothing goes unchecked, and every finding still waits for a person to confirm or dismiss it.
- Reading a bill's document is refused until the allowance resets or a top-up lands. You can still enter the bill by hand.
- Marie's changes wait: confirming one is refused until the allowance resets or a top-up lands. She still answers, helps and reminds.
If you hold top-up actions, none of this happens: Maliru spends a top-up action instead, and carries on at full strength.
Buying a top-up
Click Buy 500 AI actions in the AI review dialog. Maliru opens a secure checkout page in your browser. The 500 actions are added to the workspace once the payment is confirmed. They never expire, and they're used only after the month's allowance has gone. Buying needs Manage subscription, which the owner holds. A top-up is £30 / €35 / $39, in your workspace's billing currency: see Which currency you pay in and the pricing page.
Top-ups only help on Team and above. On Free, AI reviews and bill reading aren't included, so there's nothing for them to spend.
Buying automatically
Buy a top-up automatically buys another 500 actions "When the monthly allowance runs out." It charges the card saved on the workspace's billing account. If that card is declined or needs you to confirm the payment, nothing is bought: reviews carry on in fast mode and bill reading waits.
- At most, a month: "A hard ceiling. Nothing can charge past it." Choose 1, 2, 3, 5, 10 or 20 top-ups. The default is 3.
- Every automatic purchase is emailed to the owner and anyone with Manage subscription. The switch shows how many were bought this month.
- Switching automatic top-ups on needs Manage subscription. Anyone who can open the dialog can switch it off.
Maliru never buys automatically unless someone has switched this on. Saving a card at checkout is not permission to use it again.
