Upgrading, seats and billing interval
Open Plans from Upgrade, choose a plan and a seat count, pay monthly or yearly in your workspace's currency, or ask for a smaller plan.
The Plans dialog is where the workspace's subscription changes: upgrading, adding seats, moving between monthly and yearly billing, or going back to Free. It opens from the orange Upgrade button in the office top bar. On a narrow window, Upgrade is under More actions (⋮). It also opens from See plans on any upgrade prompt. The Upgrade buttons under Settings › Storage and Settings › Branding open that same prompt.
There's no plan card under Global settings. Plans are bought on the web only. The iPhone and Android apps never show plans, prices or an Upgrade button: they say plainly what the plan doesn't include, without offering an upgrade. In Field view on a computer, Plans opens only from an upgrade prompt, such as the one under Me › Settings › Storage once the workspace is nearly full.
Who can do it
Changing the plan needs Manage subscription, which the owner holds. Anyone else who opens Upgrade sees "Your plan details could not be loaded." An owner can give the permission to someone else. See Access profiles and permissions.
The Plans dialog

At the top: "Every plan includes every module; the plans add depth and room. N of your seats are in use." Under each plan's name is what it is for: Free, Run a small crew properly; Team, Run your business; Crew, Run contracts, contractors and compliance.
- Monthly / Yearly: yearly billing shows its saving on the toggle, for example Yearly · save 17%, and every price in the dialog follows the toggle. On Yearly, a price still shows a month's worth, marked a month, billed yearly.
- Four plan cards: Free, Team, Crew and Enterprise. Each shows its price, the people it covers, who it suits (Free, for example, lists Sole traders, Small crews and Trying it out), and what it includes. The Crew card also says from how many people it costs less than Team. Your current plan has a Current plan badge. Prices are in your workspace's billing currency: pounds in the UK, euros in Ireland and the rest of the EU, and US dollars everywhere else. See Which currency you pay in.
- Founding prices: while they're offered, each paid card shows its founding price with the standard price struck through beside it, and reads a month · founding price, locked in. Point at the struck-through price to see the standard price with its rate per extra user. Crew is highlighted with a Best value badge. You keep a founding price for as long as you stay subscribed. See Offers, free periods and founding prices.

Choosing a paid plan and seats
- Pick Monthly or Yearly.
- On the Team or Crew card, set Seats with the − and + buttons. The line below updates as you go, for example "… /month for 18 seats". A paid plan includes a number of users (Team 15, Crew 40), and each seat beyond that is charged per seat. You can't go below the included seats, or below the number of seats already in use.
- Click Choose Team or Choose Crew. Maliru shows "Opening secure checkout…" and opens the payment page in your browser. Maliru never sees your card.
- Pay. The new plan and its allowances apply once the payment is confirmed, and a new subscription replaces the one it upgrades.
To move the plan you already have from monthly to yearly billing, flip the toggle: the button on your plan's card reads Switch to yearly. Going from yearly to monthly is a smaller plan, arranged on a call (below).
For more than 500 seats, or anything shaped around your operation, the Enterprise card's Talk to us opens a conversation with the Maliru team.
Moving to a smaller plan
A smaller plan is a lower plan, Free, fewer seats, or monthly instead of yearly billing. It isn't bought from the dialog: we go through it with you on a quick call, so you know exactly what changes and nothing you rely on stops working.
- On the card you want, click Talk to us about Team, or Talk to us about Free, …about monthly or …about fewer seats.
- Maliru asks, if you'll say, why you're thinking of moving. Choose Ask for a call.
- A support conversation opens with your request, and the Plans dialog says "You asked to move to …". Only you can open that conversation, from Open conversation: anyone else who manages the subscription sees the request in the Plans dialog, but not the conversation. Someone from Maliru emails you a time for a quick call, usually within one working day. Nothing changes until then. Withdraw request takes it back.
- After the call, Maliru schedules the change for the end of the period you've paid for. Until then the Plans dialog says when your plan moves, with Keep my current plan to undo it. You're told in the conversation, in your notifications and by email when it's scheduled and when it happens.
If nobody has called within five working days, the Plans dialog offers Make the change. It schedules the move for the end of the period you've paid for.
Free covers 5 seats. Before a move to Free takes effect, deactivate people or delete unclaimed invites so 5 or fewer are in use. We'll go through it on the call.
After a move to Free:
- Nothing is deleted. Extra workstreams, alert rules, supervisors and pay calendars you already have stay as they are. Free only stops you adding more.
- Your saved branding is kept, and it shows again when you upgrade.
- Employee pay carries on, on one pay calendar. Contractor pay, company deductions and the query window need Crew, but closed runs, the statements issued from them and the exports stay readable on every plan.
- Named and shared dashboards stay readable.

Invoices and questions
For a question about a charge or an invoice, or a change the Plans dialog can't make, open Marie, choose Talk to a person from her menu (⋮), and pick A question about my bill.
