Workspace settings and branding

Your own appearance, the workspace's modules and features, alert rules, storage, and your logo and colours.

Global settings is in the account menu (your avatar, top right), not the navigation rail. It opens a Settings page with these cards: Appearance, Workspace defaults, Modules, Alerts, Storage, Workspace profile, Branding, Evidence photo stamp and Marie, and for owners Your data. There's no plan card: the subscription lives behind the Upgrade button. See Upgrading, seats and billing interval.

Appearance

The first card is yours alone: Mode (System, Light or Dark) and Rows (Comfortable or Compact), on this device. Anyone can change it, and it changes nothing for anyone else. See Dark mode and row density.

Workspace defaults

"Dates and times use the workspace timezone. Language and measurements are defaults; people keep their own language preferences. Contact Maliru support to change country, currency or compliance packs."

  • Timezone, for example Europe/Dublin.
  • Language code, for example en or fr.
  • Measurements: Metric or Imperial.

Global settings › Workspace defaults: Timezone, Language code and Measurements, with Save defaults

Choose Save defaults. Only an owner can change these. Everyone else sees them read-only, with "Only a workspace owner can change these defaults." The country, currency and compliance packs are set when the workspace is created: to change them, ask the Maliru team: open Marie and choose Talk to a person from her menu (⋮).

Modules

Modules: each module with its switch, and Commercial & billing opened to its feature rows

"Control what appears in the workspace, on the phone and in the API. Dashboard, Users and Settings are always on. Open a module to switch off the parts of it you do not use; nothing is deleted."

There's one switch per module: Jobs & work orders, Scheduling & dispatch, Clients & contracts, Sites & locations, Fleet & vehicles, Assets & equipment, Authorisations, Forms & inspections, Defects & issues, Evidence & audit trail, Time & timesheets, Commercial & billing, Pay & payroll, Workforce records, Communications & updates, and Binder. A module with features inside it shows a count such as 9 of 10 on. Click the module's row, or its count, to open its feature rows. Only a switch turns a module or a feature on or off: clicking its name never does.

Features inside a module. A workspace rarely uses every part of a module:

  • Jobs & work orders: Route work.
  • Clients & contracts: Contracts and Service levels.
  • Fleet & vehicles: Running costs and Fuel cards.
  • Assets & equipment: Stock.
  • Authorisations: Eligibility.
  • Forms & inspections: Scheduled forms and Share packs.
  • Time & timesheets: Leave, Time corrections, Work patterns, Lone worker, Journey monitoring and Location in three words (what3words).
  • Commercial & billing: Rate cards, Measures, Invoices, Valuations & applications, Variations, Bills, Purchase orders, Payment runs, Subcontractor deductions and Expenses.
  • Workforce records: Digital ID card and Join requests.
  • Communications & updates: Chat, Help requests, Updates and Directory.
  • Binder: Inductions.

A feature you switch off disappears everywhere it lives: its tab in the office, its capture on the phone, its dashboard cards, its alert triggers and its notification category. The API refuses requests for it, and Maliru's scheduled checks stop raising anything about it. For example, a workspace without Bills gets no due-soon bill reminders, and one without Leave gets no leave chasers.

Some features need another feature. Service levels need Contracts. Fuel cards need Running costs. Purchase orders, Payment runs and Subcontractor deductions need Bills. Journey monitoring and Location in three words need Lone worker. While the one it needs is off, the row says so. Service levels, Journey monitoring, Location in three words, Purchase orders and Inductions start off, and everything else starts on.

Switches save straight away. Nothing is deleted: switching a module or feature back on shows everything again. At least one module has to stay on.

Every module is on every plan. A few features inside them, such as Service levels, Stock, Inductions, Purchase orders, Payment runs and Subcontractor deductions, come with the Crew plan. See Seats, plans and billing.

Alerts

"Email a summary to chosen people when an event matches a rule you define — a dangerous defect, a failed inspection." Manage alert rules opens the rule builder and the Open alerts list. See Admin alert rules.

Storage

A bar showing how much of the plan's file storage the workspace has used, with Upgrade from 80% on the web. See Storage: what counts and when it is full.

Workspace profile

The workspace's Name and Slug, shown for reference. They're set when the workspace is created and can't be edited here. If you need a rename, ask the Maliru team: open Marie and choose Talk to a person from her menu (⋮).

Branding

Branding: the logo shown in the Sidebar and Collapsed slots, the eight colour schemes and the Made with Maliru switch

"Your logo and colours as they appear across the workspace."

  • Logo: Upload a file, or Replace the current one, or remove it with the bin. The guidance reads: "Use a horizontal SVG, or a sharp PNG, JPEG or WebP at least 600 x 160px." An SVG has no minimum size, and it's converted to a sharp 2400px image when you upload it. Every file must be under 5 MB. The preview shows the logo exactly as the navigation draws it, in the Sidebar and Collapsed slots. The sidebar gives it 48px of height, so a wordmark reads better than a stacked logo with a tagline. The logo also appears top right on your PDF reports, because those documents go to your clients.
  • Colour scheme: eight schemes, Maliru Ocean, Pumpkin spice, Fern bronze, Royal plum, Emerald grove, Crimson clay, Slate indigo and Graphite mint. Each has a dark version for anyone reading in dark mode.
  • Show "Made with Maliru" on documents: the credit at the foot of your PDFs. On Free it's locked on ("Included on Free. From Team, it is your choice."). On Team and above you choose whether to keep it beside your own name. The setting applies to PDFs made from then on, including form, route, alert and share-pack documents. It doesn't change files already downloaded or sent.

Click Save branding. You'll see "Branding saved."

On Free, the card shows "Your branding is saved and will show on Team and above." with an Upgrade button. You can still set everything up, and saving says "Branding saved. It will show once you upgrade." The workspace and its PDFs use Maliru's branding until then, and yours applies the moment you move to Team or above.

Tip: upload your logo before your first client-facing report. It's the difference between a generic PDF and your completion report. See PDF reports: submissions and route completion.

Evidence photo stamp

"For photos taken in the phone app as evidence: Capture, a job's Evidence tab, a vehicle spot check and an issue report. Forms set their own stamp in Form settings."

Switch on Stamp camera photos and those photos are taken with Maliru's own camera in the iPhone and Android apps, with the date and time burnt in. Then choose the other lines: the address, the position, GPS accuracy, the record, your logo, a note from staff and a copy saved to the phone's photos. Choose Save. It starts off. See Stamped photos from Maliru's camera.

Who can change these

Saving modules, features, branding and the evidence photo stamp needs the Manage settings permission, which the owner holds by default. Anyone can open the page and change their own Appearance. Without Manage settings, the module and feature switches are greyed out and the card says "Only people who can manage settings can change these." Workspace defaults can only be changed by an owner.

A scheduled-deletion banner

If Maliru Operations has scheduled the workspace for deletion, owners and office admins see a banner: "This workspace is scheduled for deletion on {date}." Maliru then permanently deletes the workspace and everything in it. If that isn't what you want, tell the Maliru team before the date: open Marie and choose Talk to a person from her menu (⋮). Refreshing the page or signing out doesn't cancel it.
