Seats, plans and billing

Every plan has every module. Plans differ in seats, depth and volume: what counts as a seat, what each plan includes, and the currency you pay in.

Every Maliru plan includes every module: jobs, scheduling, forms, fleet, commercial, pay and the rest. Plans differ in how many seats you have and in depth and volume, never in which modules you can open. Free is a real plan for your first five people, not a trial.

  • Free: run a small crew properly.
  • Team: run your business.
  • Crew: run contracts, contractors and compliance.

For current prices, see the pricing page.

What counts as a seat

A seat is a person your workspace is responsible for:

  • Active users take a seat.
  • Unclaimed invites take a seat too, because the place is being held for them.
  • Deactivated users don't. Deactivating someone frees their seat straight away, and their records and history are kept.

The seat pill in the Users header shows where you stand, for example "7 of 10 seats". It changes colour when every seat is in use.

Hitting the limit

When every seat is in use, adding or inviting someone shows:

"All {limit} seats are in use. Upgrade the plan, or deactivate someone first."

You can go one of two ways:

The plans

Free: 5 seats

  • Every module.
  • Owner and field worker profiles.
  • 1 workstream.
  • 5 invoices and 5 exports a month, counted separately: issuing an invoice never spends an export.
  • 3 alert rules and 2 live share packs.
  • 2 GB storage.
  • 3 AI form drafts, for the life of the workspace.
  • Marie, Maliru's AI assistant, for help with how Maliru works and finding records.
  • Maliru branding: documents carry a small Made with Maliru line.
  • Lone worker alarms by push.
  • Basic employee pay on one pay calendar: rates, holiday pay, pay runs, additions, files for your payroll provider, the minimum wage floor, expenses repaid and earnings statements.
  • Licence checks at allocation: a trade pack's licence and credential checks when someone is scheduled.

See What's included in the Free plan for the detail.

Team: 15 seats, then per extra seat

  • Everything in Free without the limits: unlimited invoices, exports, alert rules, workstreams and share packs.
  • 500 AI actions a month, for AI reviews and the invoice and bill readers, and unlimited AI form drafts.
  • Marie answers from your workspace's records.
  • Your own branding: your logo and colours in the app and on PDFs.
  • Supervisor and office admin profiles.
  • Fuel-card imports, recurring cost schedules and recurring bills.
  • Lone worker alarm texts.
  • Employee pay on as many pay calendars as you need.
  • 50 GB storage.

Crew: 40 seats, then per extra seat

Everything in Team, plus:

  • Service contracts: service levels with response and fix times, SLA clocks and breach warnings, planned maintenance, client equipment, client SLA reports and contract fee invoicing.
  • Contractor pay: self-billing, CIS-style withholding, the contractor work ledger, piece rates (per unit, per job or per route stage), gangs, company deductions with the worker's agreement and the pay query window.
  • Applications for payment, valuations, retention and variations, and subcontractor deductions on bills.
  • Monitored lone worker: alarm calls, welfare calls, check-in and duress codes, journey monitoring and what3words.
  • Inductions, and requirements specific to a client or contract.
  • Stock and requisitions.
  • Purchase orders, and payment runs with remittances.
  • Custom roles, workstream scoping, and named and team dashboards.
  • Marie's reminders, watches and memory, and changes she prepares for you to confirm.
  • 2,000 AI actions a month, which Marie's changes use too.
  • 200 GB storage.

Enterprise: custom

Everything in Crew, with seats, an AI allowance and storage to suit, and a direct line to the Maliru team.

Each plan card in the Plans dialog lists its main lines. They come from the same rules the app enforces, so the dialog never promises something a limit then refuses.

Good to know

  • Currency. You pay in pounds in the UK, in euros in Ireland and the rest of the EU, and in US dollars everywhere else. A subscription keeps the currency it started in. See Which currency you pay in.
  • Monthly or yearly. Paid plans can be billed either way. Yearly is ten months' price for twelve, and the Plans dialog shows the saving.
  • Founding customer prices are shown on the plan cards while they're offered. The price is locked in for as long as you stay subscribed. See Offers, free periods and founding prices.
  • Pay. Maliru works out gross pay and hands it to your payroll provider, which works out tax and take-home pay and issues the payslips. Maliru never pays anyone or files a return. Closed pay runs and the statements issued from them stay readable on every plan, because they're records a workspace has to keep.
  • Lone worker. The alarm is on every plan. Free alerts contacts by push, Team adds texts, and Crew adds the monitored service: calls, check-in and duress codes and the rest. A contact set to text or call on a plan without them is alerted by push instead, so an alarm is never dropped for want of a plan. There's no alarm receiving centre: alarms go to the people your workspace chooses.
  • Nothing is taken away by a change of plan. Anything your workspace already uses keeps working when its plan doesn't include it: a limit only ever stops the next new one. Nothing is deleted or switched off, and existing records, such as past pay runs, statements, applications and contracts, stay readable on every plan.

Who can change the plan

Viewing and changing the plan needs the Manage subscription permission, which the owner holds. The orange Upgrade button in the top bar opens the Plans dialog, and so does See plans on any upgrade prompt. Anyone else who opens it sees "Your plan details could not be loaded." There's no plan card under Global settings.

Payment goes through a secure checkout page: Maliru never sees your card. For a question about an invoice, or anything the Plans dialog can't do, open Marie, choose Talk to a person from her menu (⋮), and pick A question about my bill.

Tip: once a season, check Users › Inactive and your unclaimed invites. Freeing seats you're not using is the cheapest upgrade there is.
