Storage: what counts and when it is full

How much file storage your plan includes, where to see what's used, and what happens at the limit.

Every photo, file and attachment your workspace uploads counts towards its plan's storage. The limit applies to the workspace as a whole, not to each person.

How much each plan includes

Plan Storage
Free 2 GB
Team 50 GB
Crew 200 GB
Enterprise Agreed with you

What counts

Anything uploaded into the workspace: evidence photos and videos, form and inspection attachments, job files, chat attachments and voice notes, receipts and bills, signed documents, logos and profile photos, and files you send to the Maliru team through the messenger.

Text doesn't count. Jobs, forms, timesheets, measures and the audit trail take no storage, however many there are.

Where to see it

In the office, open the account menu › Global settings › Storage: "Photos, files and attachments count towards your plan's storage. Files already stored always stay put; once the limit is reached, new uploads wait for an upgrade or a clear-out." A bar shows, for example, "1.6 GB of 2 GB used".

Settings › Storage past 80% full, with the amber bar, the warning and Upgrade

On the phone, open Me › Settings › Storage to see the Workspace storage sheet. Once the workspace is 80% full, the same bar also appears at the top of the Me tab.

The phone's Workspace storage sheet

Nearly full

From 80% the bar turns amber and a note appears:

  • For someone who can change the plan: "You are close to your storage limit. Upgrade for more room before uploads start to fail." An Upgrade button sits beside the figure.
  • For everyone else: "Your workspace is close to its storage limit. Ask a workspace admin to upgrade before uploads start to fail."
  • In the iPhone and Android apps, which never offer an upgrade: "Your workspace is close to its storage limit. New uploads will stop once it is full."

Full

At 100% the bar turns red:

  • "Your storage is full. New photos and files will not upload until you upgrade or remove some."
  • Or, for someone who can't change the plan: "Your workspace storage is full. New photos and files will not upload until a workspace admin upgrades the plan or removes some."
  • In the iPhone and Android apps: "Your workspace storage is full. New photos and files will not upload until some are removed."

What that means in practice:

  • New uploads are refused. Maliru checks before sending, so a file that won't fit is stopped with a message such as "This file needs 12 MB but only 3 MB of your 2 GB of storage is left." In the office, the short form is "Your workspace storage is full."
  • Nothing already stored is touched. Every existing file stays and still opens.
  • Work without files carries on. Jobs, forms without attachments, timesheets and everything else keep working.
  • A capture saved on a phone while out of signal stays on the phone until there's room. Its Review entry says "Storage could not accept this file. Check workspace storage and access, then retry."

Making room

  • Upgrade the plan. The larger allowance applies as soon as the payment is confirmed. See Upgrading, seats and billing interval.
  • Remove files you no longer need, where your records allow it. Removing a file frees its space.

Storage is one of the Free plan's limits. See What's included in the Free plan. For the size limit on a single file, see File limits and upload errors.
