What's included in the Free plan
Free for good for five people, with every module, and the handful of limits that come with it.
Free is a real plan, not a trial. A crew of up to five can run their whole operation on it for as long as they like: every module, the office workspace and the field app on iPhone and Android, offline capture, forms, evidence, timesheets, jobs, invoicing, pay, chat and updates. Nothing expires.
What Free leaves out is the depth and volume a growing business needs, and the features that cost Maliru money each time they run. Here's the full list, so nothing comes as a surprise.
What Free includes
The Free card in the Plans dialog lists: Every module, 5 users, 5 invoices and 5 exports a month, 3 alert rules, 1 workstream, Lone worker alarms by push, Basic employee pay, 3 AI form drafts, Marie for help and quick search and 2 GB storage. In more detail:
- 5 users. Owners and workers alike: anyone who signs in, or holds an unclaimed invite, takes a seat. See Seats, plans and billing.
- Every module, the same modules as every paid plan. Some features inside them go further on Team and Crew: see below.
- Owner and field worker profiles. Supervisors and office admins need Team, and custom access needs Crew.
- 1 workstream.
- 5 invoices a month. Issuing an invoice, a pro-forma or an application for payment counts. Quotes and credit notes don't.
- 5 exports a month, counted separately from invoices, so issuing an invoice never spends an export. Exports of every kind count, for example timesheet exports, fleet cost exports, valuation and payment application exports, and accounting exports of invoices or bills. Support transcripts don't count.
- 3 alert rules in the alert rule builder. The Alert rules page shows how many you've used.
- 2 share packs live at a time. Drafts and sent packs count. External recipients don't take a seat, and completed or withdrawn packs keep their history. See Sharing forms and documents outside your workspace.
- 2 GB of file storage for photos, documents, voice notes and attachments. See Storage: what counts and when it is full.
- 3 AI form drafts for the life of the workspace. Create with AI turns a description, PDF or photo of your existing paperwork into a draft form. It shows a padlock on Free, but your three drafts still work. The AI review dialog shows "AI form drafts: n of 3 used."
- Maliru branding. Documents carry a small Made with Maliru line and the app uses Maliru's colours. You can set your own branding up on Free, and it applies the moment you upgrade.
- Lone worker alarms by push. The alarm itself is on every plan: a missed check-in or Get help alerts your escalation contacts by push notification. See Lone worker for the office.
- Basic employee pay on one pay calendar: rates, holiday pay, pay runs, additions such as bonuses and allowances, files for your payroll provider, the minimum wage floor, expenses repaid through pay, and earnings statements. See Before your first pay run.
- Licence checks at allocation. A trade pack's licence and credential checks when someone is scheduled run on every plan. See Eligibility.
- Your own My dashboard, customised as you like.
- Marie, Maliru's AI assistant, for help with how Maliru works and for finding any record by name or number. See Marie, your assistant in Maliru.
- Help and support. The help centre and the support team are the same on every plan.
What Team adds
- No volume limits: unlimited invoices, exports, alert rules, workstreams, share packs and pay calendars.
- AI: 500 AI actions a month for AI reviews of submitted evidence and reading invoices and bills from their documents, with top-ups if you need more, and unlimited form drafts. See AI allowance, usage and top-ups. Asking Marie isn't part of this.
- Marie answers from your records: who's on site, what's waiting and what's off the road, with the records one click away, once an owner switches her on.
- Your own branding: your logo and colours in the app and on PDFs.
- Supervisor and office admin profiles.
- Automation: fuel-card statement imports, and recurring schedules for fleet costs and bills.
- Lone worker alarm texts.
- 50 GB storage.
What Crew adds
Everything in Team, plus:
- Service contracts, with service levels, SLA clocks, planned maintenance and client SLA reports.
- Contractor pay: self-billing, withholding, the contractor work ledger, piece rates, gangs, company deductions and the pay query window.
- Applications for payment, valuations, retention and variations, and subcontractor deductions on bills.
- Monitored lone worker: alarm calls, welfare calls, check-in and duress codes, journey monitoring and what3words.
- Inductions, and requirements specific to a client or contract.
- Stock and requisitions.
- Purchase orders, and payment runs with remittances.
- Custom roles, workstream scoping, and named and team dashboards.
- Marie's reminders, watches and memory, and changes she prepares for you to confirm.
- 2,000 AI actions a month and 200 GB storage.
When you reach a limit
A short prompt names the limit and offers See plans. For example: "The Free plan includes 3 alert rules and all of them are in use. Team has no limit." Nothing is lost and nothing stops working. A fourth alert rule isn't created, a sixth invoice or export waits until next month or an upgrade, and an upload that would take you past 2 GB isn't accepted. Settings › Storage shows how much you've used, and warns from 80%.
If you stay on Free
Nothing you already have is ever removed. If your workspace has more workstreams, rules, supervisors or pay calendars than Free allows, because it was set up before these limits or came down from a paid plan, everything stays as it is. Free only stops you adding more, and existing records stay readable.
Upgrading
Someone with Manage subscription, normally the owner, can change the plan at any time from the Upgrade button in the top bar. The new allowances apply as soon as the payment is confirmed. The Plans dialog shows founding customer prices while they're offered, in your workspace's currency. See Upgrading, seats and billing interval, Which currency you pay in and the pricing page.
