Marie, your assistant in Maliru

Ask Marie how to do something, find any record by typing its name or number, and get answers from your own records.

Marie is Maliru's AI assistant, inside the app. Ask her how to do something in Maliru, find a record by typing its name or number, or, once your workspace has switched her on, ask about your own work: who's on site, what's waiting for you, which vans are off the road. She's an AI, not a person. Her messages are always labelled AI, and she says so if you ask.

Opening Marie

  • In the office workspace, press Ctrl+K, or ⌘K on a Mac. It works from any screen, even while you're typing in a field. You can also click Marie in the top bar, and Help opens the same window.
  • On the phone, go to Me › Settings › Contact Maliru support. There Marie helps with how Maliru works, and hands you to the Maliru team when you'd rather talk to a person.

The window sits on the right of the screen and leaves the page behind it working, so you can read a record and keep talking. On a narrow window it fills the screen. Esc closes it, and your conversation is still there when you open it again. New chat starts a fresh one.

In a browser, the shortcut works while the Maliru tab is the one you're in.

Changing the shortcut

Open Me › Marie and choose how you open her:

  • Ctrl+K (⌘K on a Mac), the default.
  • Double-tap Ctrl: press Ctrl twice quickly, with no other key in between.
  • Ctrl+Space.
  • A combination of your own: at least one of Ctrl, Alt, Shift or ⌘, with a letter, a number, Space, / or a full stop.

Combinations your browser keeps for itself, such as Ctrl+W, Ctrl+T, Ctrl+N, Ctrl+L, Ctrl+R and Ctrl+Tab, can't be chosen. Your choice is saved on you, not on the computer, so it follows you to any computer you sign in on. You can switch Marie off for yourself in the same place.

Finding a record

Start typing a name or a number, such as a job reference, a person, a site, a client, a registration or an asset, and matching records appear as you type. This is ordinary search: no AI is involved and nothing is counted. Press Enter on a match to open it, or finish your question and press Enter to ask Marie.

You only ever see records you could open yourself.

Asking Marie

Ask the way you'd ask a colleague:

  • "How do I set up a work pattern?"
  • "Why can't Dave see the Riverside job?"
  • "Who's on site at Riverside today?"
  • "Which vans are off the road?"
  • "What's waiting for me to approve?"

Marie answers in a few lines. Every record she names is a link: click it to open the record, and the window stays open beside it. While she works, the window says what she's looking at, and a line under her answer lists what she looked at, such as today's shifts and clock-ins, so you can see where the answer came from. A thumbs up or down on an answer tells us how she did.

If you have a record open when you ask, Marie knows which one you mean: "this job" or "him" is the one on screen. It's shown above the box you type in, and you can remove it with one click.

Marie reads your workspace's records only once an owner has switched her on. Until then she helps with how Maliru works and finds records, on every plan. See Switch Marie on for your workspace.

Ask for something your workspace's plan doesn't include and she tells you so.

Asking Marie doesn't use your AI allowance: help, answers and reminders are included. Answers from your records have a fair-use limit for each person and each workspace a day. Past it, Marie says so, and help and finding records keep working. A change Marie makes for you uses one AI action. See What Marie can do for you, and what she never does.

She sees what you see

Marie works as you. She can only look at what you could open yourself, and only prepare what you could do yourself, with your permissions, your workstreams and your workspace's modules and plan. Ask about something you don't have access to and she says so. She has no access of her own: she isn't a user and doesn't take a seat.

What she reads in your records is information, never an instruction to her. A note on a job that tells Marie to do something is just a note.

Talking to a person

Marie offers Talk to a person whenever you'd rather talk to someone, or when she can't help. Before anything is sent, you see exactly which messages will go to the Maliru team, your questions and her answers, and you can leave any of them out. Nothing else goes with them: not the records she looked at. The team replies in a support conversation. See Getting help inside Maliru.

Maliru staff never look at your workspace through Marie. The only way support reads your records is the read-only access an owner or office admin gives from a support conversation.

Your conversations

Your conversations with Marie are yours alone. Nobody else in your workspace can read them, owners included. They're deleted 90 days after the last message, and you can delete one yourself at any time. Deleting a conversation doesn't undo what Marie did for you: a change you confirmed stays in the audit trail.

To answer, Marie sends your conversation and the records she looks up to Maliru's AI model provider, Anthropic, which processes them under its data processing terms. Nothing is used to train AI models. Maliru reads the questions people ask about how Maliru works, to improve the guides. A conversation in which Marie looked at your workspace's records stays private. See the Privacy Policy.

If Marie is unavailable for a while, the window says so, and finding records keeps working.
