Capturing photos, forms and defects on site

The Capture button adds a record while the details are fresh — forms, photos, defects, job updates and bills.

Everything you record on site goes through Capture — the raised camera button in the middle of the bottom bar, and the Capture button on any shift or assignment card.

Step one: what it's about

Capture first asks "What is this about?" — every capture saves to a record:

  • Your work — your upcoming assignments.
  • Your vehicle — the vehicle assigned to you (marked "Off the road — do not drive" if it has been taken off the road), or Choose a vehicle. Fuel fill sits here as well.
  • Something else — Any job (with the right access: see below), A site, An asset or piece of plant, or Myself.

Start from a shift card's Capture and this step is skipped — the job is already chosen. Vehicles, sites, assets and forms about yourself are covered in Capturing against a vehicle, site, asset or yourself.

Step two: what you're recording

Capture for a job: SAVING TO the job, then Form or inspection, Photo or file, Defect or issue, Job update and Add a bill

The record you picked sits under SAVING TO, with Change if you meant another. Then choose:

  • Form or inspection — "Complete required field checks."
  • Photo or file — "Add evidence to this record."
  • Defect or issue — "Report something needing action."
  • Job update — "Add a note to the job history." Jobs only.
  • Add a bill — "A delivery note or receipt you were handed." Jobs only, and only when your workspace uses Bills. See Filing a delivery note or receipt from the phone.

Each option appears only when the module behind it is switched on for your workspace.

Photos and files

Choose Photo or file, then Take a photo, Choose photos or Choose files. Choose photos and Choose files take as many as you tick, so a job's photos go in together; Take a photo takes one at a time, unless your workspace stamps evidence photos: then it opens Maliru's own camera, which burns the date, time and place into each photo and stays open for as many as you need. See Stamped photos from Maliru's camera. Where offered, pick a Category — General, Before, During or After — and add a note. When you add several at once, the category and note are asked once for all of them, and each file is saved as its own piece of evidence. Files can be up to 25 MB each.

A job's Evidence view brings its files together and shows which captures are still saved only on your phone. If a file can't send, it stays queued for retry. See Job evidence and completion requirements.

Forms and inspections

Choose Form or inspection and Maliru lists the active forms that apply to this record; if only one applies, it opens straight away. Fill it in top to bottom — text, numbers, choices, photos, video, audio answers, signatures and more. Add photo builds up several photos on one question, even on a weak signal; a cloud-off mark shows a file saved on the phone that hasn't sent yet. A signature question shows Tap to sign: it opens a full-screen pad, and Done saves the signature. Turn the phone sideways for more room.

If a form has Stamp camera photos switched on, its photo questions open Maliru's own camera in the iPhone and Android apps, and each photo is stamped with the date and time, where you were and whatever else the form chose. See Stamped photos from Maliru's camera.

Some questions insist on a fresh photo from the camera, with no gallery option, including in a supported browser. Some record where you were when you answered; a location question has its own Capture button showing the fix and its accuracy, and an address where one can be found. If location is off you'll see "Location services are off." or "Location permission was denied." These stamps are taken at that moment — there is no background tracking — and an attachment's stamp says where it was attached, not where an older gallery photo was taken.

Two things protect your work:

  • Drafts save as you type. Choose Keep draft when you leave. Pick it up again from Me › My forms, or by opening the same form on the same record. Drafts are kept for 14 days.
  • No signal is fine. Tap Submit; Maliru checks every required answer first ("Answer "{field}" before you send this."), then the report is kept on the phone and sent when you're back in coverage. See Working with no signal.

Defects and job updates

  • Defect or issue raises a defect against the record for the office to action.
  • Job update adds a note to the job's history — a quick "What happened?" box, then Add update.

A job you were sent to stays open for your forms, photos and defects while your visit is unfinished, and for seven days after it is finished, so a report written up the next day still lands on the job.

Finding any job

If you are an owner or hold the Manage jobs permission, Something else also offers Any job — "Today's jobs first, then every job in the workspace." It opens Find a job: search by Job reference, title or client, or narrow with Today and Workstream. Results come under TODAY and OTHER JOBS; only the first 50 are shown, so search if yours isn't in view.

Find a job: the search, the Today and Workstream chips, and TODAY and OTHER JOBS

Manage schedule on its own doesn't give you Any job. Without it, capture from one of your own assignments, or ask your administrator to check your access. Your workstream access still applies either way. Check SAVING TO before you add anything.

Tip: capture on site, not at the depot. Photos, forms and location stamps are worth far more taken at the moment — and drafts and offline sending mean poor signal is never a reason to wait.
