File limits and upload errors
Every upload limit in one place (sizes, counts, types and storage) and what each error message means.

What the messages mean
- "Files are limited to 25 MB.": the file is too big. Photos rarely are, because Maliru shrinks a large photo before uploading it. Videos and scanned PDFs usually are, so trim the video or split the document.
- "Videos are limited to 50 MB. Record a shorter clip.": on Report issue. A clip recorded with the camera there stops at 30 seconds. One chosen from your gallery is judged on its size alone.
- "A field holds at most 15 files." (job file fields) or "A question holds at most 15 files." (forms and expenses): that field is full. Remove a file, or use another field.
- "A bill holds at most 10 files. Remove one before adding another."
- "{file} is {size}. Files in the Binder can be up to 100 MB.": only a video can be larger in the Binder, up to 1 GB. See Videos in the Binder.
- "Files are limited to 10 MB.": a guest completing a share pack uploaded something too big.
- "The file could not be uploaded.": the upload itself failed, usually because of the connection. Try again with better signal.
- "The file could not be selected.": the phone's file picker failed before Maliru saw the file. Try again, or pick from somewhere else.
- "That file could not be read. Check that Maliru can use your camera and files, then try again.": Maliru was refused access. Allow camera and file access for Maliru in your phone's settings.
- "The file could not be opened.": file links are secure and expire after an hour. Reopen the file from its record.
- "Your workspace storage is full.": the workspace has used its plan's storage, even though this file is under the size limit. See Storage: what counts and when it is full.
Logos and profile photos
- "Choose an SVG, PNG, JPEG or WebP image.": a logo has to be one of those four types.
- "Logo file is too large. Upload an SVG, PNG, JPEG or WebP under 5MB."
- "Logo is {W x H}px. Upload a sharper horizontal logo at least 600 x 160px — or the SVG, which has no minimum.": small logos look soft in the sidebar and on PDFs. An SVG is turned into a sharp image when you upload it, so it has no minimum size.
- "We could not read this SVG. Re-export it as plain SVG, or upload a PNG."
- "Choose a PNG, JPEG or WebP image.": this one is for profile photos, which can't be SVG.
Spreadsheet imports
- Accepted files are .xlsx, .csv and .tsv, or you can paste rows straight from a spreadsheet.
- "That file could not be read. Try a .xlsx or .csv.": save the file again in one of those formats. Some unusual exports can't be read.
- "The first row must be column headers…": an import needs a header row naming the columns. The header row isn't imported itself.
- Row errors show per row in the preview. Fix them in your sheet and paste again.
Large photos and PDFs
A photo over 400 KB is resized to at most 2,560 pixels on its longest side before it's uploaded. A PDF over 10 MB offers compression first, so check the size and quality before you continue. A compressed PDF may be rebuilt from page images, so keep the original if searchable text matters. If the result is still over the limit, split the document or choose a smaller file.
Quiet gotchas
- Several chat attachments at once: an oversized file in the selection is skipped rather than failing the whole send. If one file didn't arrive, check its size.
- Photos saved offline: in a form photo field, a thumbnail marked as saved on this device hasn't uploaded yet. Keep it with the draft or the queued capture, and check Review if sending needs attention. See My report didn't send.
- Share-pack guests need a connection, and have the separate 10 MB limit above. See Completing a shared pack.
