Capturing against a vehicle, site, asset or yourself
Not every record is about a job — walkarounds, plant checks, site records and forms about you.
A walkaround is about a van, a plant check is about a digger, and a fatigue declaration is about you. So Capture starts by asking "What is this about?" and saves the record there, not to whatever job you happen to be on.
Step one: pick the record

The launcher lists everything you can record against, in three groups:
- Your work — your upcoming assignments, each with its client and site. With nothing on the rota it reads No upcoming assignments — Jobs appear here once you are on the rota.
- Your vehicle — the vehicle assigned to you, shown by registration and Assigned to you. If it has been taken off the road it still appears, marked "Off the road — do not drive" — a walkaround or defect report may be exactly what it needs. With no vehicle assigned, Choose a vehicle — Any vehicle in the fleet — lists the vehicles currently available to drive. Fuel fill — Log litres, cost and odometer — sits here too and opens its own sheet; see Logging a fuel fill from your phone.
- Something else — A site (Where you are working today), An asset or piece of plant (Tools, equipment, machinery) or Myself (A form about you, not a job).
Each group appears only while its module — Fleet, Sites, Assets — is on for your workspace. Open Capture from a shift or job card and step one is skipped. With nothing to record against at all you'll see "Nothing to record against yet. Open Capture from a job or shift."
Step two: what you're recording

SAVING TO shows the record you picked, with a Change button. Beneath it:
- Form or inspection — Complete required field checks. Only forms that attach to that kind of record are offered: vehicle inspections for a van, asset checks for plant, worker forms for yourself. If exactly one applies it opens straight away.
- Photo or file — Add evidence to this record.
- Defect or issue — Report something needing action. A defect on a vehicle or asset is what the office grades and, if it is serious, takes off the road.
A vehicle, site, asset or yourself offers those three. A job adds Job update and, where your workspace uses Bills, Add a bill — see Capturing photos, forms and defects on site.
Where it lands
Everything saves to the record you chose: a vehicle inspection appears in the vehicle's check history with the submission attached, a plant check on the asset, a site record on the site, and a form about you on your own worker record. Drafts, location stamps and offline sending work exactly as they do for job captures — see Working with no signal.
Tip: if your vehicle isn't offered under Your vehicle, ask the office to set you as its driver on the vehicle record. Then walkarounds, fuel fills and any Any vehicle form due on Today open on the right van without a picker.
