Terms of Use
Last updated: 8 October 2026
These Terms of Use ("Terms") govern access to and use of the Maliru platform — the web application at app.maliru.com, the Maliru mobile applications, and this website (together, the "Service") — provided by Oracha (UK) Limited, trading as Maliru, a company registered in England and Wales under company number 15517641, with its registered office at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ ("Maliru", "we", "us"). By creating a workspace, accepting an invitation to one, or otherwise using the Service, you agree to these Terms.
1. The Service
Maliru is a field-operations platform: scheduling, field data capture, forms and inspections, timesheets and leave, fleet and asset registers, permits and credentials, communications, and commercial records, organised into customer workspaces. We may improve, add or remove features over time.
2. Accounts and workspaces
- Sign-in is by mobile phone number and one-time code. You are responsible for keeping your device and number secure and for activity under your account.
- A workspace is created and administered by its owner. Workspace administrators control membership, roles and permissions, module settings, and the data held in the workspace.
- You must provide accurate information and be authorised to act for the organisation whose workspace you administer.
3. Acceptable use
You agree not to:
- use the Service unlawfully, or to store or transmit unlawful, infringing or harmful material;
- attempt to gain unauthorised access to the Service, other workspaces, or underlying systems, or to probe, disrupt or overload them;
- resell, sublicense or provide the Service to third parties as a service bureau without our written agreement;
- reverse engineer the Service except where a right to do so cannot be excluded by law.
4. Plans, billing and seats
- Plans are described at maliru.com/pricing. Paid plans are billed by subscription — monthly, or yearly at ten months' price for twelve months of service.
- Offers and promotional pricing. We may offer promotional terms, such as a founding customer price, a discount or a free period, publicly on our website or privately by code or invitation. Before you accept an offer we show its terms: the price, the plans and billing periods it covers, any free period, and how long its terms last. They are recorded against your workspace when you accept it, and later changes to the offer, or its withdrawal, do not change them. You accept a public offer by subscribing while it is open; a checkout you started before it closed is honoured if you complete it within 24 hours.
- Locked prices. Where an offer locks a price for as long as you stay subscribed, as the founding customer price does, that price applies while your paid subscription remains continuously active. The lock carries across changes of plan between Team and Crew and between monthly and yearly billing. If the subscription lapses or is cancelled, the lock ends, and any later subscription is at the price then in force unless a new offer applies.
- Free periods. You do not need to add a payment method to start a free period, and nothing is charged during it. If a payment method is on file when the free period ends, your subscription continues at the price the offer states and billing starts that day. If not, your plan continues unchanged for a grace period of 14 days, or as long as the offer states, while you add one. If you add one during the grace period, billing starts the day you add it. If none is added by the end of the grace period, your workspace moves to the Free plan and your data is not deleted. We will email your workspace's billing contacts before a free period ends.
- Ending an offer. A public offer closes to new customers on the end date announced with it. Where it was announced without an end date, it closes no sooner than 30 days after we post notice of its closing on our pricing page. A private offer may be withdrawn at any time before it is accepted, and expires on the date it states. Customers who accepted an offer before it closed keep its terms.
- Conditions. One offer applies to a workspace at a time. Offers have no cash value and cannot be transferred to another workspace. We may refuse or withdraw an offer accepted by a workspace that did not meet its conditions.
- A seat is an active user or an unclaimed invitation. Deactivated users do not occupy a seat. Plan limits are enforced by the Service.
- Payment is processed by Stripe. We do not store your card details. Taxes may apply depending on your location.
- You may upgrade your plan or add seats self-serve in the app. A move to a smaller plan (a lower plan, the Free plan, fewer seats, or monthly instead of yearly billing) is arranged with us: ask from the app and we will contact you to arrange a short call, usually within one working day. If we have not done so within five working days of your request, you may make the change yourself in the app. A smaller plan takes effect at the end of the period you have paid for unless we agree otherwise. The Free plan requires your seats in use to be within the Free limit. Fees already paid are non-refundable except where required by law.
- If a subscription payment fails, we may place the workspace in a grace state and, if unresolved, suspend paid functionality.
5. Your data
- Content submitted to a workspace — jobs, forms, photographs, records, files ("Customer Data") — belongs to the customer. We claim no ownership of it.
- You grant us the rights needed to host, process, transmit and display Customer Data solely to provide the Service.
- Workspace administrators are responsible for the lawfulness of the Customer Data they collect, including data about their workers, and for configuring the workspace (permissions, visibility, directory, ID cards) appropriately.
- Our processing of personal data is described in the Privacy Policy.
6. Availability and support
We aim for high availability but the Service is provided on an "as available" basis; maintenance, updates and factors outside our control may interrupt it. Support is provided through in-product chat and the Help Center.
7. Intellectual property
The Service, its software, design and branding are owned by Maliru or its licensors. These Terms grant you a limited, non-exclusive, non-transferable right to use the Service for your organisation's internal business purposes while your subscription is active.
8. Disclaimers
Except as expressly stated, the Service is provided without warranties of any kind, whether express or implied, including fitness for a particular purpose. The Service supports — but does not replace — your own operational, safety and compliance judgement; outputs such as AI review findings are assistive and require human decision.
9. Liability
Nothing in these Terms excludes liability that cannot be excluded by law (including for death or personal injury caused by negligence, or fraud). Subject to that, we are not liable for indirect or consequential loss, loss of profits, revenue or data; and our total liability arising out of or in connection with the Service in any 12-month period is limited to the fees you paid for the Service in that period (or £100 if you are on the Free plan).
10. Suspension and termination
- You may stop using the Service and cancel a paid subscription at any time; the workspace then continues on the Free plan or may be closed by its owner.
- We may suspend or terminate access for material breach of these Terms, non-payment, or where required by law. Where practical we will give notice and an opportunity to remedy first.
- On termination of a workspace we will, on request within 30 days, provide a reasonable export of Customer Data before deletion.
11. Changes
We may update these Terms from time to time. Material changes will be notified in the product or by email; continued use after the effective date constitutes acceptance.
12. Governing law
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, except where mandatory consumer law in your country provides otherwise.
